GopherCon 2025

GopherCon is a well-known developer conference bringing together engineers, speakers, and community members for multiple days of talks, sessions, and networking.

Aoki Studios served as the official photo and video team for GopherCon 2025, providing end-to-end visual coverage throughout the conference: including same-day photo delivery and a full recap sizzle reel delivered immediately after the event concluded.

Event Overview

The Challenge

GopherCon presented a different but equally demanding set of constraints:

A compressed pre-production timeline (approximately five weeks)
Multiple concurrent speaker sessions and community moments
The need for same-day photo edits for social media and press throughout the event
A requirement to deliver a final recap sizzle reel the same day the conference ended

Despite the shorter runway, the expectation was the same: clean execution, fast delivery, and content that could be used immediately.

Our Role + Approach

As the official photo and video team, Aoki Studios handled all visual production responsibilities before, during, and after the event.

Pre-production + Planning

With limited lead time, we moved quickly to:

Align with organizers on priorities and deliverables
Identify key sessions, speakers, and moments to capture
Build a streamlined shot list and coverage plan
Prepare workflows optimized for same-day turnaround

This ensured we were fully prepared despite the shortened planning window.

On-Site Event Coverage

Throughout the conference, our team provided comprehensive coverage, including:

Speaker sessions and presentations
Attendee experience and networking moments
Community interactions and atmosphere
Brand and sponsor visibility

We adapted in real time to session changes and schedule shifts, working efficiently without disrupting speakers or attendees.

Same-Day Asset Delivery

Speed was a critical requirement for GopherCon. During the conference, we:

Delivered same-day edited photos for social media, marketing, and press use
Provided ongoing content throughout the event
Ensured assets were immediately usable by the organizing team

At the conclusion of the conference, we delivered a final recap sizzle reel the same day, allowing the team to share official content while the event momentum was still strong.

After the event, Aoki Studios completed all post-production responsibilities, including:

Organizing and delivering all RAW photo and video files
Providing polished photo and video assets for long-term use

Ensuring a clean, structured asset handoff for future marketing and promotions
